VoIP vs. Traditional Phone Service: Why It's Time For A Business Phone System Upgrade

Business communication systems are evolving rapidly. The traditional landline phone system is being replaced by VoIP technology. This allows businesses to use the internet to make calls over the public internet rather than using expensive dedicated lines. It’s also possible to connect multiple devices together so that employees can access email, share files, and even hold conference calls on their mobile phones.

The first step towards choosing a business phone system is understanding what your needs are. You need to know how many people will use the system, whether there will be multiple locations, and if you want to integrate your existing PBX (Private Branch Exchange) with the new system. Once you know these things, you can start looking at the features available on each type of system.

In this article, we will take a look at the traditional phone system and the VoIP phone system. We'll also find out why businesses like Berg Advisors has switched to VoIP phone systems and why it may be time for you to upgrade from the traditional phone system as well.

Malcom: [00:00:00] Small businesses lose customers when they're stuck using old technology. Sometimes, they need a helping hand to keep up. Here is the story of...

Andrew Berg: Berg Advisors. Our firm provides public accounting, tax, and outsourced accounting services to the US and non-US based business owners.

Malcom: How long have you been in business?

Andrew Berg: Our firm has been in business for 11 plus years.

Malcom: What was your biggest frustration with your old system?

Andrew Berg: Our old system was part of a physical office that we had, so you could only utilize that system when you were in the office. It was probably about 10 years old, and it was not a voiceover IP system. So when we were mobile and out of the office, we were unable to communicate with our clients in a way that the clients [00:01:00] believe we are in our office, so we exposed our mobile phone numbers. Yeah. We don't really want our staff to share their mobile phone numbers because some clients will take liberties and call or text at odd hours, and we don't think that that's a fair thing to do. So we were never able to text our customers via our old system. Our old system, you had to be physically in the office in our physical space.

Malcom: What were some of your concerns with transitioning to the new system?

Andrew Berg: I think I thought the move to voiceover IP was gonna be a lot more difficult, and I was concerned about, like, a connection, like, a real phone system is like a phone line plugged in and a physical phone and you know it's gonna work. And I think you think when you move the voiceover IP that all of a sudden it might not work the same or clients can't reach you. And we've never seen any of that at all. It was a lot easier, and I think that's the piece I think a lot of people out there don't understand.

Malcom: What has happened since switching to the new system?[00:02:00]

Andrew Berg: We can communicate with our clients in multiple different ways from the new system, through a mobile app installed on our mobile phones. When the pandemic hit, we decided to close that office and go a hundred percent virtual. The biggest portion of that move was deciding how we were gonna communicate with our clients without using our mobile and cell phone numbers or using a video service like Zoom. So it was essential for us to look at a voiceover IP system. What we really wanted from that is to be able to communicate with our clients in a way that they believe we are in a physical space. When they called, our specific phone number would direct them to our staff no matter where they were in the world. And if our staff were unavailable, that it would also then redirect to our staff's mobile phone numbers and it would not expose their mobile phone number to our clients. And we're really happy. We made the decision was to upgrade our hardware across the board for our voice connections to be clearer for our callers. So we purchased [00:03:00] either speaker phones and our headsets for all of our staff to be able to utilize their voiceover IP systems.

Malcom: Would you recommend Global Teck to other friends or business?

Andrew Berg: In our transition to the voiceover IP system went very well, the use of the overall connection to our computers. And then to our mobile devices seem to go very well. We highly recommend that people go to a voiceover IP system, even in a physical environment. And the use of the voiceover IP system was a much easier transition than we thought it was gonna be, and we should have done it five plus years ago.

Malcom: If technology is overwhelming you, and you'll need help keeping up, get in touch with Global Teck. Tell us your story.

What Is A Traditional Phone System?

The traditional phone system, also known as the Public Switched Telephone Network (PSTN), is a network of copper wires that connect homes and businesses to the local telephone exchange. The PSTN has been in existence for over 100 years and is the most reliable phone system available.

Calls made over the PSTN are clear and rarely drop, even during bad weather. However, the traditional phone system is gradually being replaced by VoIP (Voice over IP) technology, which uses the internet instead of copper wires to carry calls.

While VoIP offers many advantages, such as lower costs and more features, it is not as reliable as the traditional phone system. In areas with poor internet connectivity, VoIP calls can be choppy and may drop entirely. For this reason, many businesses still rely on the traditional phone system to make critical calls.

How Does A Traditional Phone System Work?

Traditional phone systems have been around for decades, and they are still used by many businesses today. Though they may seem outdated, traditional phone systems can be quite reliable. Here's how they work:

This system uses a network of copper wires to connect callers with one another. When someone makes a call, their voice is converted into an electrical signal that travels along the wires to the person they are calling. The called person's phone then converts the signal back into sound, allowing them to hear the caller's voice.

Traditional phone systems are generally very reliable, but they can be susceptible to problems like static or interference. And because traditional phone systems use wires, they can be difficult and expensive to install. But for many businesses, traditional phone systems are still the best option.

What is A VoIP Phone System?

A VoIP phone system is a telephone system that uses Voice over IP technology to place and receive calls over the internet. VoIP is becoming increasingly popular for businesses of all sizes, as they offer a number of advantages over traditional landline systems.

Perhaps most notably, VoIP systems are typically much less expensive to maintain than landline systems, as they require no special hardware or infrastructure. In addition, these systems are highly scalable, so they can easily be expanded to accommodate a growing business.

VoIP phone systems often offer a number of features that are not available with traditional landline systems, such as caller ID, call waiting, voicemail, and call forwarding. As a result, VoIP is an excellent choice for businesses that are looking for a cost-effective and feature-rich telephone solution.

How Does A VoIP Phone System Work?

A VoIP phone system uses your existing broadband internet connection to make and receive calls, instead of using a traditional phone line. VoIP stands for Voice over Internet Protocol, and refers to the technology that is used to transmit voice communications over the internet.

In order to use a VoIP phone system, you will need a broadband internet connection with enough bandwidth to support the call volume that you anticipate. You will also need a VoIP adapter, which is a small device that connects your regular phone to your internet router. Once you have setup your VoIP adapter, you will be able to make and receive calls using your regular home phone.

The quality of VoIP calls has improved significantly in recent years, and many users find that it is indistinguishable from a traditional phone call. One advantage of using a VoIP phone system is that it can be much cheaper than a traditional landline, since you are only paying for your internet connection. In addition, VoIP allows you to make calls over the internet, so you can avoid long distance charges.

Why Should You Switch to a VoIP Phone System?

When it comes to business communication, there are a variety of different phone systems to choose from. Two of the most popular options are VoIP and traditional landline systems. So, which is the better choice for your business? To make the decision, it is important to understand the key differences between these two types of phone systems.

VoIP, or Voice over Internet Protocol, is a relatively new technology that transmits voice calls over the internet. One of the main benefits of VoIP is that it is far more affordable than a traditional phone system. In addition, VoIP offers a host of features that are simply not available with a traditional landline system. For example, many VoIP services offer call forwarding, caller ID, voicemail, and even video conferencing.

While VoIP does have many advantages over a traditional phone system, there are also some potential drawbacks to consider. One issue is that VoIP requires a reliable internet connection in order to work properly. If your internet service goes down, so does your phone service. In addition, VoIP can sometimes result in poor call quality if the internet connection is not strong enough.

Overall, VoIP is a clear winner when compared to a traditional landline system. It is more affordable and offers a variety of features that can be very beneficial for businesses. However, it is important to make sure that you have a reliable internet connection before making the switch to VoIP.
